These Exhibitor Terms govern participation as an exhibitor at RUBEXPO 2027. All confirmed exhibitors are bound by these terms in addition to the General Terms & Conditions.
1. Booking & Payment
- Stand booking is confirmed only upon receipt of the signed booking form and 50% advance payment
- Balance 50% payable 90 days before show open date
- Full payment required minimum 60 days before show open date
- Late payment may result in stand reallocation or forfeiture
- All charges are subject to 18% GST
2. Cancellation Policy
- Cancellation before 180 days from show open: 25% retention
- Cancellation between 180-90 days: 50% retention
- Cancellation between 90-30 days: 75% retention
- Cancellation within 30 days of show open: 100% retention (no refund)
- All cancellations must be in writing
3. Stand Allocation
- SEFIPL reserves the right to allocate stand position based on category, booking date, payment status and overall show layout
- Exhibitor preferences will be accommodated where possible but not guaranteed
- SEFIPL may modify stand position up to 30 days before show open if required for operational reasons
4. Stand Construction
- Bare Space exhibitors must engage stand contractors who comply with venue safety, fire and electrical regulations
- Maximum stand height: 4.5 metres (subject to venue confirmation)
- Two-storey stands require prior approval
- Hanging banners, flying objects and helium balloons subject to venue approval
5. Move-in / Move-out
- Move-in schedule will be published in the Exhibitor Manual 90 days before show
- Heavy machinery and oversized equipment may require advance scheduling
- Move-out must be completed within designated window — overstays charged extra
6. Exhibitor Conduct
- Exhibitor activities must remain within allocated stand boundaries
- No loud noise, public address systems or amplified music without prior approval
- Demonstrations involving heat, flame, fumes or hazardous materials require advance approval and safety clearance
- All staff must wear official exhibitor badges at all times
7. Insurance & Liability
- Exhibitors are responsible for insurance of their exhibits, stand, staff and products
- SEFIPL provides general venue security but is not responsible for individual exhibitor property
- Exhibitor liable for any damage caused to venue, neighbouring stands or third parties
8. Intellectual Property
- Exhibitors warrant that all products, technology, branding and content displayed do not infringe third-party rights
- In case of IP disputes, SEFIPL may require the exhibitor to remove disputed items
9. Photography & Recording
- SEFIPL may photograph and record show floor for promotional and post-show purposes
- Exhibitors retain copyright over their own products and content
10. Force Majeure
In case of force majeure events (acts of God, war, pandemic, venue unavailability, government order, etc.), SEFIPL may postpone, relocate or cancel the show. SEFIPL's liability is limited to refund of paid stand charges, less actual expenses incurred.
11. Governing Law
These Exhibitor Terms are governed by the laws of India. Disputes subject to exclusive jurisdiction of Chennai courts.
12. Entire Agreement
These Exhibitor Terms, together with the General Terms & Conditions, the signed booking form and the Exhibitor Manual, constitute the entire agreement between SEFIPL and the exhibitor.
